Operating manual

Everything you need to use the application, screen by screen: what it is for, in which order to proceed and what to enter in each field.

1. Getting started

The application brings together, in one place, the managing agent (professional or volunteer), their team, the owners and the caretaker. Each person only sees what concerns them.

How the application is organised

Manager · Owner · Caretaker

Everything starts from a “workspace”: a property management firm, or a volunteer manager who runs their own building. A workspace holds one or more buildings; each building holds its units, owners, budget, expenses, meetings and day-to-day life.

Good to know

  • The roles: Administrator (everything, including the team and settings), Manager (day-to-day management), Supervisory (the council: reviews and approves), Caretaker (the front desk only), Owner (their account, their documents, the life of their building).
  • The legal rules (deadlines, majorities, ceilings) are those of the country chosen when the workspace was created. They apply automatically: the application refuses what the law forbids and explains why.
  • Amounts are entered in dirhams (or in euros in France), with a comma or a point for the cents: “1 250,50” or “1250.5”.
  • The application is available in French, Arabic and English: the language selector is at the bottom of the menu or at the top of the pages.

Create your workspace

Manager

The first person to sign up creates the workspace and becomes its administrator. Everyone else (team members, owners, caretaker) then joins the workspace by invitation: they do not sign up on their own.

Step by step

  1. Open the “Create my workspace” page.
  2. Enter your name, your email address and a password.
  3. Choose the workspace type and the country, then enter the name: the building’s name for a volunteer manager, the firm’s name for a professional (the field is called “Building name” in both cases).
  4. Confirm: you land on the list of buildings, which is empty. Create the first one (see “Buildings”).

What to enter

Your name
First and last name of the person creating the workspace. It appears in the logs and on the records they enter.
Email address
It is your sign-in identifier. An address can only be used once.
Password
At least 10 characters. It is stored in irreversible form: nobody can read it, not even support.
Workspace type
“Volunteer manager (my building)”, the default choice: an elected owner who manages their own building, a single building. “Property management firm”: a professional with several buildings, team members, dual approval of expenses and fee invoices.
Country
Sets the law that applies (Morocco: Law 18-00 as amended; France: Law of 10 July 1965), the currency, the chart of accounts and the time zone. It cannot be changed afterwards.
Building name
In fact the name of your workspace: the firm’s name for a professional, the building’s name for a volunteer. It appears on call-for-funds notices and receipts.

Sign in, join a workspace

Manager · Owner · Caretaker

You sign in with your email and password. An owner or a team member first receives an invitation code, which they enter on the “Join my building” page.

Step by step

  1. Invited: open the “Join my building” page, enter the code received from the manager, your email and your name, and choose a password.
  2. Afterwards: sign in on the “Sign in” page with that email and password.
  3. Depending on your role, you land on the buildings (manager), on “My account” (owner) or on the front desk screen (caretaker).
  4. Forgotten password: on the “Sign in” page, click “Forgot your password?”, enter your email and open the link you receive (valid one hour, single use) to choose a new password. All your open sessions are then closed. If you no longer have access to your mailbox, support can correct the address or set a temporary password.

Good to know

  • Owner code: valid 14 days, single use; generating a new one cancels the old one. Team member or caretaker code: valid 7 days, and only with the invited email address.
  • If your address already has an account, enter your current password: the invitation is added to that account.
  • An account linked to several workspaces opens the first one in alphabetical order.
  • After 15 minutes of inactivity, the application renews the session in the background; after 30 days without signing in, you must sign in again.
  • A workspace suspended by the operator can no longer be signed into: the message “This workspace is suspended” is displayed.

My firm: team and settings

Manager

For the administrator only: invite team members, the council or the caretaker, remove access, set the dual approval threshold for expenses and the firm’s tax identity.

Step by step

  1. Open “My firm” from the list of buildings.
  2. To invite: enter the person’s email, choose their role, click “Invite”. Give them the code displayed (valid 7 days): they will enter it on the “Join my building” page with that same address.
  3. To remove access: “Remove” next to the person; their sessions are ended. The last administrator cannot be removed.
  4. “Readings of ambiguous legal points”: four choices (counting the three-quarters majority, quorum, voting-power cap, debtors’ votes); the option marked ★ is the default. A meeting keeps the choices in force when its notice was sent.
  5. “Data export”: a JSON file for one building or for the whole workspace, recorded in the log.

What to enter

Role
Manager: day-to-day management of all buildings. Supervisory: reviews and can approve expenses. Caretaker: the front desk screen only. Administrator: like a manager, plus the team and settings.
Dual approval threshold
Amount from which an expense must be approved by someone other than the person who entered it. Leave empty to turn it off. Default: 5,000 MAD for a firm, off for a volunteer manager (note: a volunteer working alone who turns it on can no longer approve their own invoices without a council member).
Tax identity
All fields are required: company name, address, tax identifier (IF, 6 to 10 digits), business tax number (6 to 12 digits), ICE (exactly 15 digits). They appear on fee invoices.

Good to know

  • A volunteer manager can invite their council and a caretaker; manager team members are reserved for the firm plan.

Buildings

Manager

The list of your buildings, as cards: number of units, arrears, next meeting. Click a card to enter the building; the left-hand menu then gives access to all its screens.

Step by step

  1. Click “New building”.
  2. Enter the name and the city.
  3. Enter the building, then fill in the units and owners (“Units and owners”, or import a file).

What to enter

Name
The usual name, for example “Résidence Les Orangers”.
City
The municipality where the building stands. It matters: in Morocco, the general meeting must be held in that municipality.

Building overview

Manager

The building’s dashboard: cash (bank and petty cash), arrears and the collection rate, the next call for funds, the share of owners online; then the “To do” list in order of urgency (urgent reports, invoices to approve, arrears over 90 days, invoices to pay, contracts to cancel or renew within 30 days, maintenance visits within 7 days, draft payslips, meetings to call) and the 5 largest debtors.

Good to know

  • Each “To do” line is a direct link to the screen concerned.

2. The building: units, owners, documents

Before any financial operation, the building must be described: its units, their shares and their owners. This is the basis for every allocation of charges and every vote.

Units and owners

Manager

The list of units (apartments, shops, parking spaces…) with their shares, and of owners with the units they own. This is also where you invite an owner into the application.

Step by step

  1. Add each unit: reference, type, shares. The total of the shares is shown at the bottom; it is usually 1,000 or 10,000.
  2. “New owner” (the form only appears while some units still have no owner): first name, last name, phone, the date from which they have been the owner, and tick their unit or units.
  3. For an existing building, prefer importing a spreadsheet (next section): everything is created in one go.
  4. “Invite to the app”: a code is displayed, valid 14 days. Give it to the owner; they enter it on the “Join my building” page with their email.

What to enter

Reference
The unit number as it appears in the co-ownership rules: “A12”, “B-3”, “P07”. Unique within the building.
Type
Apartment, shop, office, parking, cellar or other.
Shares
A whole number: the unit’s share of the common parts, set by the co-ownership rules. It is used to allocate charges and to count votes at meetings. A unit with 0 shares pays no general charges.
Owner since
Leave empty if you do not know it: the unit is then treated as having always belonged to them, which is the right choice when taking over mid-year.
Phone
8 to 20 characters: digits, spaces, dots, hyphens and “+”. International format recommended: +212 661 10 20 30. Used for SMS or WhatsApp reminders.

Good to know

  • Every unit and every owner can be edited (“Edit”). Deleting is only possible without history: a unit never called for funds, a record with no debt, no payment and never convened. Otherwise the application refuses, and the record can still be edited.
  • The form asks for the e-mail and the language for messages: with neither e-mail nor phone, the owner receives no notices. Both can be completed at any time with “Edit”.
  • Floor and area are entered through the import or by editing the unit. A change of shares applies to future fund calls: calls already generated are not recalculated.

Import units from a spreadsheet

Manager

Create all units and their owners at once from a CSV file exported from Excel or LibreOffice. Nothing is saved before the check: the application first shows the errors line by line.

Step by step

  1. “Download a template” to start from a file with the right columns.
  2. One line per unit. Required columns: unit and shares. Optional: type, floor, area, last name, first name, phone, email, language. Headers can be in French, Arabic or English.
  3. Save in “CSV UTF-8” format (in Excel: Save As → CSV UTF-8). Excel’s ordinary CSV format damages accented characters, and the “tantièmes” header is then no longer recognised. Then “Check the file”.
  4. Fix the errors reported (line number, column, value read), check again, then “Import”.

Good to know

  • The same owner on several lines (same name and same email) is created only once and receives all their units.
  • Accepted types: apartment, shop, office, parking, cellar, other (or their equivalents such as “magasin”, “local”, “garage”, “شقة”…); empty = apartment. Area with a comma or a point: 82,5. Language: fr, ar or en.
  • File of 5 MB max; semicolon, comma or tab separator.
  • A unit already present in the building is refused: the import never overwrites anything.

Sale of a unit

Manager

When a unit is sold, it changes owner on the date of the deed. The application shows the seller’s position at that date, prints the statement to give them, and moves to the buyer the calls already issued that fall due after the sale. The same screen assigns a unit that has no owner.

Step by step

  1. In “Units and owners”, on the unit’s row: “Sell” (or “Assign” if it has no owner).
  2. Enter the date of sale: the seller’s position updates — what they owe the association at that date, and the upcoming dues that will move to the buyer.
  3. Print the statement for the notary (in Morocco: discharge receipt if the seller owes nothing, art. 26).
  4. Choose the buyer: a new owner (entered on the spot) or an existing owner. “Record the sale”, then confirm.
  5. Then invite the buyer into the application from their record.

What to enter

Date of sale
The date of the deed. Calls falling due from that date move to the buyer; earlier ones stay with the seller, even unpaid.
Buyer
New: first name, name, phone, e-mail and language, as when creating an owner. Existing: an owner who already has a unit in the residence.

Good to know

  • In Morocco, the buyer is jointly liable for the seller’s debts to the association (art. 42): have the debt settled with the notary before signing.
  • A sale cannot be undone: if there is a mistake, record a new sale at a later date.
  • Moving the dues posts an accounting entry between the seller’s and the buyer’s accounts; the books stay balanced.

Taking over (opening balances) — at the top of the Accounts tab

Manager

Is your building coming from another manager or from a paper ledger? Enter the trial balance on the takeover date: cash, reserves, debts and receivables, and each owner’s balance. It becomes the first entry in the accounts.

Step by step

  1. Enter the takeover date and the source of the figures (“Trial balance from the previous manager at 31/12”).
  2. Add one line per account (at least two): the bank, petty cash, reserves, each owner who owes money or has paid in advance (account 3421, owner required), each supplier to be paid (4411). On each line, an amount in debit OR in credit, never both.
  3. The application shows the difference: the balance must be balanced (total debits equal to total credits) to be saved.
  4. “Save opening balances”: confirm. This is final.

Good to know

  • The takeover is only possible as long as the building’s accounts have not started: do it right after the units, BEFORE issuing calls for funds, recording a payment or approving an expense. After that, the form disappears for good.
  • An owner’s carried-over debt appears in their account (“owes …”) and their subsequent payments settle it first.

Documents

Manager · Owner

The building’s vault: co-ownership rules, minutes, contracts, insurance certificates, invoices, plans, surveys. Each document has a visibility: all owners, the council only, or management only.

What to enter

File
PDF, JPEG, PNG, WebP, Word (.docx) or Excel (.xlsx), 10 MB max; older .doc and .xls files are refused. Its fingerprint is recorded: you can prove it has not been modified.
Category
Rules, minutes, contract, insurance, invoice, plan, survey, budget or other: it is used for filing.
Who can see it
“All owners”: visible in each owner’s space. “Owners’ council”: the council and management. “Management only”: the manager only (sensitive contracts, collection documents).
Document date
Optional: the date of the document itself (the meeting date for minutes), not the upload date.

Good to know

  • Removing a document hides it from the vault, but the file is kept for the record.

Maintenance contracts

Manager

Current contracts (lift, cleaning, security, gardens…) with their end date, notice period and next visit. The dashboard warns you in time to decide whether to renew or cancel.

What to enter

Supplier
Chosen from your list of suppliers. A supplier is created from the Expenses screen (“+ New supplier”).
Start / End
The contract dates. The end must come after the start.
Notice (days)
Time needed to cancel before the end date, from 0 to 365 (30 by default). The cancellation deadline (end minus notice) turns red 30 days before.
Annual amount
The cost over one year, in dirhams.
Visits / Next visit
How often visits take place (monthly, quarterly, twice a year, yearly) and the date of the next one, which turns red 7 days before. It is not recalculated automatically.

Good to know

  • A contract can be edited (“Edit”: dates, amount, next visit to update after each visit) and deleted at any time.

3. Finances

The order is always the same: a financial year and its budget, approval of the budget at the meeting, issuing the calls for funds, then recording payments and, if needed, collection. Expenses follow their own approval process. The accounts keep themselves from these operations.

Budget and calls for funds

Manager

Create the financial year, enter the budget item by item, record its approval by the general meeting, then issue the calls for funds. Each owner receives their share, calculated on their shares.

Step by step

  1. “New financial year”: start and end dates and the frequency of calls (quarterly by default). In Morocco, a financial year lasts 12 months at most (18 for the building’s first one) and must not overlap another financial year: from 01/01 to 31/12, not to the following 01/01.
  2. Add the budget lines: label and annual amount, split between all units according to their shares. Until the budget is approved, every line can be edited or deleted.
  3. The budget is approved automatically when a meeting held in the application adopts the “Budget” resolution linked to this financial year. If the meeting was held outside the application: “General meeting approval”, enter its date and the minutes reference. The budget is then frozen.
  4. “Issue calls for funds”: the application creates the instalments (for example 4 quarterly calls) whose sum is exactly the budget, to the cent.
  5. Printable call-for-funds notices (one per owner, with the amount outstanding or the credit) open from “Printable demands” in the list of calls.

What to enter

Item
What the planned spending is for: “Security”, “Water for common areas”, “Lift maintenance”.
Amount
The annual amount planned for this item, in dirhams.
Allocation
For a charge that concerns only some units (lift, car park), first create a key (“Allocation keys” section, further down this tab), then choose it here. Otherwise, “All units” splits by the general shares.
Minutes reference
For example “GM of 12/12/2025, resolution 2”. It appears on the call-for-funds notices.

Good to know

  • No call for funds without an approved budget: that is the law, and the application refuses it. Every unit must also have an owner on each call date.
  • Calls for funds can only be issued once per financial year. Do the takeover of opening balances BEFORE: afterwards it is no longer possible.
  • Once approved, the budget can no longer be changed; any change requires a new meeting decision.
  • Each unit’s share is calculated on its shares and rounded so that the total comes out exactly.

Allocation keys

Manager

Some charges concern only part of the units: the lift for the floors it serves, the car park for the spaces, a building for its own occupants. An allocation key states which units pay that charge, and in what proportion.

Step by step

  1. “Budget and calls” tab, “Allocation keys” section: “New key”.
  2. Give it a name (“Lift building A”), tick the units concerned and enter each one’s share. “All units, general shares” pre-fills with the shares from the rules, to adjust.
  3. In the budget, add the relevant line (“Lift maintenance”) and choose the key under “Allocation”.
  4. At a general meeting, a resolution can also be reserved for a key’s units: only those owners vote.

What to enter

Share in the key
Whole number. The charge is split in proportion to these shares: with 600 and 400, the first unit pays 60 %. Use the special shares from the co-ownership rules if they set any.

Good to know

  • A key used by an approved budget or a convened meeting keeps its composition (its name can still be edited): calls and votes depend on it.
  • A key used by a budget line or a resolution cannot be deleted.

Payments and receipts

Manager

Record each payment from an owner. A numbered receipt is issued immediately; the payment settles the oldest debts first.

Step by step

  1. Choose the owner, enter the amount, the method and the date.
  2. For a cheque or a transfer, enter the number.
  3. “Record and issue receipt”: the receipt (for example R2026-000012) can be printed and is visible in the owner’s space.
  4. Mistake or bounced cheque: “Cancel” the payment (administrator only) and give the reason, at least 5 characters. It is not erased, it is reversed.

What to enter

Method
Cash, cheque, transfer or deposit. Card payments made by the owner are recorded automatically.
Cheque or transfer number
Required for a cheque: it is used for bank reconciliation and if the cheque bounces.
Date
The day you received the money (no future date).
Amount
In MAD: “1 500,50”. The payment settles the oldest instalments first; any surplus becomes a credit.

Good to know

  • Receipts are numbered without gaps, per year. A cancelled receipt keeps its number and is marked “Cancelled”.

Arrears

Manager

Each owner’s position on a given date: what is due, what has been paid, what is still owed, and the age of the debt (under 30 days, 31 to 90, 91 to 180, over 180). At the top, the building’s collection rate.

Good to know

  • An owner who owes money is not admitted to vote at the meeting (Morocco): the attendance sheet flags it.

Collection

Manager

Step-by-step follow-up of debtors, in the prescribed order: friendly reminder, formal notice by registered letter, conciliation or mediation, then court proceedings (payment order, compulsory mortgage on the unit). Every dispatch is dated and kept.

Step by step

  1. For each debtor, the application suggests the next step.
  2. Print the letter, send it, then “Record sending” with the method (registered with acknowledgement of receipt, judicial officer, by hand, electronic, SMS or WhatsApp) and the date. Only SMS and WhatsApp actually send a message; the other methods record the dispatch you made yourself.
  3. After a conciliation, enter its outcome: failed, agreement or paid (once only, with no way back).
  4. The “Court file” lists the four documents to gather and shows which are available and which are still to obtain.

Good to know

  • If a formal notice remains unpaid for 30 days, all of the year’s provisions become due (acceleration clause, Article 25).
  • Before a payment order or a mortgage, there must be a conciliation with the outcome “Failed” and a formal notice sent at least 30 days earlier: the application checks this.
  • The compulsory mortgage is only tracked here: it is a matter for a lawyer and the court.

Expenses

Manager

Enter each supplier invoice, have it approved, pay it, and attach the invoice. Above the dual approval threshold, the person who enters it cannot approve it: someone else must.

Step by step

  1. “Upload the invoice” (PDF or photo): if automatic reading is enabled, the fields fill themselves in. Always check them.
  2. Choose the supplier (or “+ New supplier”), the subject, the category, the invoice number and date, the amount incl. tax. “Save expense”.
  3. Below the threshold, the expense is approved immediately; from the threshold upwards, it waits for approval by another person (administrator, manager or council), who can also reject it with a reason. A rejected expense is final.
  4. An approved expense is paid with “Pay”: date, method, reference. For an individual contractor, the screen calculates the withholding tax to keep back.

What to enter

Contractor status
For a new supplier: company, individual on the actual regime, craftsman under the single professional contribution, self-employed (auto-entrepreneur), or no status. A contractor with no status must provide their identity card number.
Category
Upkeep, maintenance, cleaning, water, electricity, insurance, staff, works voted at the meeting, urgent works, bank charges, other: it sets the accounting account and the category on the Transparency page.
Invoice no.
The number printed on the invoice. The same number cannot be entered twice for the same supplier (protection against duplicates).
Amount incl. VAT
The invoice total, taxes included.

Good to know

  • An approved expense can no longer be changed (amount, supplier, date): you can only attach the invoice.
  • Cash payment of 20,000 MAD or more: a written justification (at least 10 characters) is required.
  • Self-employed (auto-entrepreneur) or craftsman under the single professional contribution: above 80,000 MAD paid in the calendar year, a 30% withholding must be kept back and paid to the State; the “Before paying” screen calculates it and lists the documents to keep.
  • Contractor with no status: at the 4th job within 56 days, the application warns of a risk of reclassification as an employee.

Accounts

Manager

The accounts keep themselves: each call, payment received, expense, payment made and payslip produces its entry, according to the country’s chart of accounts. This screen shows the trial balance, the journal, the year-end statements and the bank reconciliation.

Step by step

  1. “Check”: verifies that the journal is intact (no entry modified, continuous numbering) and that the accounts match the owners’ ledger.
  2. Trial balance and year-end statements: income, expenses, result, and the statements the law requires depending on the amount of income.
  3. Bank reconciliation: upload the bank statement as CSV, semicolon separator, columns date;label;amount (date DD/MM/YYYY or YYYY-MM-DD, signed amount). “Reconcile” matches transactions with the same amount within 5 days and lists what is missing on either side. The result is not saved.
  4. After the financial year’s end date: “Close the financial year” (administrator). No entry can then be dated within that financial year.

Good to know

  • Entries are chained by fingerprint: any later modification would show up in the check. An entry is never corrected, it is reversed.
  • In Morocco, the statements to produce depend on the year’s income (thresholds of 200,000 and 500,000 MAD), and an audit of the accounts is mandatory above 1,000,000 MAD: the screen indicates it.

Firm fees

Manager

Firm plan only. Issue the firm’s fee invoice to the building: service lines excluding tax, VAT at 20%, total including tax, continuous numbering (F2026-000001) and legal notices. It automatically creates the “Manager’s fees” expense on the building side, subject to dual approval.

Good to know

  • First fill in the firm’s tax identity (My firm): without it, the invoice cannot be issued.

4. General meetings

From preparation to minutes: agenda, notice checked against the law, attendance sheet and quorum, votes at the right majority, minutes and their notification.

Prepare, call and hold a meeting

Manager · Owner

Every step is checked against the country’s law: notice period, notification method, quorum, majority for each decision. The application blocks anything that would make the meeting open to challenge and explains why.

Step by step

  1. “New meeting”: date, time, venue and type (ordinary or extraordinary). “Prepare the meeting”. Date, time, venue and type can be changed until notice is sent.
  2. Add the agenda resolutions: type of decision, title, text. The type sets the required majority, shown with the article of law. For “Budget”, choose the financial year put to the vote: its approval will be automatic if the resolution is adopted.
  3. Notice: sending date and notification method, then “Check compliance”. In Morocco, the notice must go out at least 15 days before the meeting, and the meeting must be held in the building’s municipality. “Confirm the notice” freezes the list of those called; print it.
  4. On the day: attendance sheet. For each owner: present, represented (proxy chosen among those present, or an external proxy) or absent. “Save attendance sheet” calculates the quorum.
  5. Open the session: the chair is an owner who is present (never the manager); the secretary is entered freely. If the quorum is not reached, the meeting moves to “No quorum” and a second meeting can be created.
  6. Vote on each resolution: for, against or abstain per owner (“All for” speeds up entry; a present owner with no choice counts as an abstention). A resolution can be voted again as long as the session is open.
  7. Close once all resolutions have been voted: the minutes become final. Notify them and record the notification date.

What to enter

Notification method
By hand (against signature), registered letter with acknowledgement of receipt, judicial officer, or electronic means. In Morocco, the validity of electronic notification is not confirmed: back it up with a legal method.
Type of decision
It sets the majority. In Morocco: majority of those present and represented for upkeep and safety; three quarters of the votes for the budget, the manager, the manager’s fees, improvement works or major maintenance; unanimity to build on, raise or alter the common parts.
Proxy
A proxy cannot represent more than 3 owners or more than 10% of the votes; the application refuses anything beyond that.

Good to know

  • Quorum in Morocco (by default): at least half of the owners AND half of the shares, present or represented.
  • An owner in arrears, even by a few cents on the meeting date, is not admitted: the attendance sheet shows it with the amount owed.
  • Second meeting: no more than 30 days after the first, and it must be called again with 15 days’ notice — the window is narrow, plan ahead.
  • The minutes must be notified within 8 days; they can be challenged for 2 months from the notification.
  • In preparation, a meeting can be edited or deleted; once notice is sent, it can only be cancelled, with a reason kept in the history. To move it: cancel, prepare a new one, send notice again.
  • In France, owners can vote online before the meeting (postal vote); their votes are counted automatically. This is not provided for in Morocco.

5. Community life

Reports

Manager · Owner

An owner reports a problem (breakdown, leak, lighting) with a photo; the manager follows it until it is resolved, can assign it to a contractor with a deadline, and every step stays visible in the report’s thread.

Step by step

  1. Owner: in “My account”, under “Report a problem”, fill in “What is the problem?”, “Where?” and the urgency, add a photo if possible, then “Send report”.
  2. Manager: open the report, set it to “In progress”, assign a contractor and a deadline, comment in the thread.
  3. Once repaired, set it to “Resolved”, then “Closed”. A closed report is final; a resolved report can be reopened.

What to enter

Title
Short and precise: “1st-floor landing light out”.
Location
Where the problem is: “Staircase A, 1st floor”, “Car park, space 12”.
Urgency
Low, normal or urgent. “Urgent” moves to the top of the manager’s dashboard.
Photo
JPEG, PNG or WebP, 10 MB max. iPhone HEIC photos are refused: set the camera to “Most Compatible” or take a screenshot.

Announcements

Manager · Owner

Information for all owners: water cut, tank cleaning, works, meeting reminder. Announcements appear in each owner’s space.

What to enter

Title
The essentials in a few words: “Water cut Tuesday morning”.
Message
The details: date, times, what to do (5,000 characters max). An announcement cannot be edited: publish a new one to correct it. “Publish” notifies all owners.

Messages

Manager · Owner

A private exchange between an owner and the manager, by subject. The manager sees all of the building’s conversations, an owner only their own. Unread messages are counted.

Step by step

  1. “New conversation”: choose the owner (manager side), give a subject, write the message.
  2. Click a conversation to read the thread and reply.
  3. The manager can close a settled conversation, and reopen it if needed.

Polls

Manager · Owner

Ask owners for their opinion before a decision (colour of the hall, pool opening hours…). A poll is advisory: it never replaces a general meeting vote.

Step by step

  1. Manager: enter the question, at least two answers, the counting method and, if you wish, an end date. Publish.
  2. Owner: click an answer; they can change it while the poll is open. They see the results after answering.
  3. The manager closes the poll whenever they choose.

What to enter

Counting
“One vote per owner”, or “weighted by shares” (each answer carries the owner’s share).
Open until
Optional: after this date, no more answers are possible.

6. Building services

Booking shared spaces

Manager · Owner

The manager declares the bookable spaces (function room, sports court, barbecue…) with their rules; owners book a slot. The schedule shows the slots taken, without the neighbours’ names.

Step by step

  1. Manager: “New space”, fill in the name, the rules, the opening hours, the maximum duration, the booking window and whether your approval is required.
  2. Owner: choose the space, the day, the start and end times, the occasion (optional), then “Book”.
  3. If the space is “on approval”, the request waits: the manager confirms or declines it from the “requests to confirm” box.
  4. Everyone can cancel their own booking; the manager can also “Block a slot” (maintenance, event).

What to enter

Opens at / Closes at
The space’s opening hours. A booking must fit entirely within this range.
Max. duration (minutes)
The longest possible booking, in 15-minute steps: 90 for a court, 300 for a room.
Bookable up to (days ahead)
How many days in advance a booking can be made, for example 14.
On approval
Tick if each request must be confirmed by the manager (a party room, for example).

Good to know

  • Two bookings cannot overlap; a booking that starts at the time the previous one ends is accepted.
  • Closing a space removes it from the owners’ choices without erasing its history.

The front desk: parcels and visitors

Manager · Caretaker · Owner

The log kept by the caretaker: parcels received for residents and who they were handed to, expected or present visitors, and the day’s bookings. The caretaker has a screen of their own, which shows nothing else.

Step by step

  1. Parcel received: choose the owner (or type the recipient’s name), the carrier, a description, then “Log the parcel”. The owner sees it immediately in their space.
  2. Handover: “Hand over”, check the name of the person collecting it, “Confirm handover”.
  3. Visitor who turns up: their name, the reason, who they are visiting, then “Log arrival”. When they leave: “Left”.
  4. Visitor announced by an owner: they appear under “expected”; when they arrive, click “Arrived”.

Good to know

  • Visitor records are erased automatically after 90 days: they are third parties’ personal data.
  • The front desk directory only shows the owners’ names and units, never their phone number or email.

7. Works and transparency

Works: competitive quotes

Manager

For each works need, open a tender and record the quotes received. The application compares them (cheapest, fastest, best warranty, expired quotes) and you award the contract. The choice must be justified in writing whenever it is not the cheapest.

Step by step

  1. “New tender”: the subject of the works and a description of the need.
  2. “Add a quote” for each company: amounts, lead time, warranty, validity date, and the quote as a PDF or photo.
  3. Read the comparison: each quote’s gap from the cheapest, the range and the median.
  4. “Choose” the selected quote, enter the reason if the application asks for it, then “Award the contract”.

What to enter

Amount incl. tax
The total to pay, taxes included. It is the figure used for the ranking.
Amount excl. tax
Optional; cannot exceed the amount incl. tax.
Lead time (days)
Announced duration of the works.
Warranty (months)
Warranty period offered: 120 for waterproofing guaranteed for ten years.
Valid until
An expired quote can no longer be selected.

Good to know

  • Fewer than 3 valid quotes: the application flags insufficient competition, and even the cheapest requires a reason.
  • Once awarded, the tender is frozen: no more quotes, no more changes. The selected company is added to your suppliers so its invoices can be paid.
  • Awarded contracts are visible to owners in “Transparency”, together with the competing quotes.

Transparency: where the money goes

Manager · Owner

Owners see the approved expenses of the last 12 months, by category, with each invoice, and the works contracts awarded. It is on by default; the manager can turn it off building by building.

Good to know

  • Only approved or paid expenses are shown, never pending or rejected ones.
  • An expense without an attached invoice is flagged “invoice not attached”: attach it from the Expenses screen.

8. Association staff (Morocco)

The owners’ association can employ its own staff: security guards, head of security, site manager, cleaners, gardeners, a resident caretaker or concierge. The application prepares the payslips and the monthly returns.

Employees, payslips and returns

Manager

One record per employee, then every month: prepare the payslips, enter the variable items, approve, pay, and track the returns to the CNSS and the tax authority.

Step by step

  1. “Add an employee”: identity, position, contract, start date, monthly base salary, hours per month, dependants, social security number.
  2. Every month: choose the month, “Prepare payslips” (one draft per employee present).
  3. Enter the month’s items on each payslip: overtime (daytime +25%, night +50%, rest day +50% or +100% at night), unpaid hours of absence, a bonus (taxable and subject to contributions, or not), advance to deduct. “Recalculate”.
  4. “Approve”: the payslip becomes final and is posted to the accounts (not possible while an anomaly remains: below the minimum wage, negative net pay). Then “Pay” with the payment method.
  5. “Returns and payments”: the CNSS (employee and employer shares) to be paid before the 10th of the following month, the tax withheld before the end of the following month; record each payment.

What to enter

Position / Contract
Security guard, head of security, site manager, cleaner, gardener, concierge (resident) or other (specify). A fixed-term contract requires its end date.
Monthly base salary
Gross, for the number of hours in the contract. Refused if it is below the current hourly minimum wage (shown on screen: 17.92 MAD per hour, i.e. 3,422.72 MAD for 191 hours).
Hours per month
191 hours for full time in trade and services; fewer for part time.
Dependants
Spouse and dependent children: each one reduces the income tax, up to a limit of 6 people.
Housing provided
For a resident caretaker or concierge: the monthly rental value of the accommodation. It is capped at 33% of the salary.
Social security number
The employee’s CNSS number, required for the return.

Good to know

  • The seniority bonus is added automatically based on the start date: 5% after 2 years, 10% after 5 years, 15% after 12 years, 20% after 20 years, 25% after 25 years.
  • An approved payslip can no longer be changed: it is locked by the database.
  • Contribution rates and the minimum wage are those in force on the date the application was last updated: have them confirmed by your accountant.

9. The owner’s space

My account

Owner

Everything that concerns the owner, building by building: their balance, instalments and receipts, online payment, meetings (and online voting where the law allows it), documents, transparency, bookings, their parcels and visitors, messages, polls and reports.

Step by step

  1. At the top, the “What’s new” banner sums up what is waiting for you: messages, polls, parcels, documents, votes.
  2. To pay: click “Pay … by card” under your balance. The payment covers the full amount due; you are redirected to the bank’s secure page, and the receipt appears as soon as the bank confirms.
  3. “Receive messages by”: tick SMS, WhatsApp or email. A greyed-out box means the manager does not have your number or address: ask them to add it.
  4. To announce a visitor: their name, the date, the reason, “Notify the front desk”.

Good to know

  • An owner never sees the other owners’ accounts or names.

10. Platform console (operator)

Access and overview

Platform operator

The console is reserved for the operator of the application. It has its own sign-in page (/console) and its own 30-minute session, separate from any firm account. Every sign-in and every action there is logged.

Step by step

  1. Overview: number of workspaces, buildings and units, active users, new workspaces per week, breakdown by country.
  2. Workspaces: the list of all workspaces; click one to see its buildings, team, accounts and activity.
  3. Users: find an account by email or by name (at least 2 characters).
  4. Log: your last 200 actions.

Good to know

  • You can only become an operator through a script run on the server; no page of the application allows it.

Support: accounts, passwords, access to a workspace

Platform operator

From a workspace’s page: change an account’s email, set a temporary password, enter the workspace as its administrator, suspend or reactivate the workspace.

Step by step

  1. “Change e-mail”: enter the new address; it becomes the sign-in identifier.
  2. “New password”: a temporary password is displayed once only. Copy it and pass it to the person through a secure channel (a call, a text to their number). The old one stops working immediately.
  3. “Open workspace”: you enter the workspace as its administrator for 30 minutes; a red banner reminds you on every page. “Back to the console” to leave.
  4. “Suspend workspace”: enter the reason; nobody from that workspace can sign in any more. “Reactivate workspace” restores access.

Good to know

  • Passwords are stored in irreversible form: nobody can read them. If one is forgotten, a new one is set.
  • Every support access is recorded in the workspace’s log: the customer can see that support stepped in.
  • The operator’s account is never modified from the console.
